Privacy Policy

Your trust matters to us

Last Updated: October 27, 2025

Hey there. We know nobody really loves reading privacy policies, but we're gonna keep this as straight-up as possible. At Zephyr on Ascendant, we've been handling guest information since we opened our doors, and we take it seriously. This isn't just legal stuff – it's about respecting you and your stay with us.

We're a Canadian resort following all the privacy laws that apply here in BC and across the country. If you've got questions after reading this, just give us a call at (604) 555-2847 – we're happy to chat about it.

PIPEDA Compliant

We follow Canada's Personal Information Protection and Electronic Documents Act

SSL Encrypted

All data transmitted through our systems uses industry-standard encryption

GDPR Ready

We respect data rights for our international guests from the EU and beyond

Look, we only collect what we actually need to make your stay happen and make it great. Here's the breakdown:

Booking & Reservation Details
  • Your name, email, and phone number (pretty obvious stuff)
  • Payment info – though we don't store full credit card numbers, that goes through our secure payment processor
  • Arrival and departure dates, room preferences
  • Special requests like dietary needs or accessibility requirements
During Your Stay
  • Spa bookings, dining reservations, adventure activity sign-ups
  • Any preferences you share with our team (like if you mention you're celebrating an anniversary)
  • Feedback and reviews you choose to leave
Website & Technical Stuff
  • Cookies and browsing data when you're checking out our site
  • IP addresses and device info (helps us keep things secure)
  • How you interact with our website so we can improve it

We don't sell your info. Period. That's not our business model and never will be.

We're pretty straightforward with what we do with your data. Everything we collect serves a real purpose:

Managing Your Reservation

Confirming bookings, processing payments, sending you confirmation emails, that sort of thing.

Personalizing Your Stay

Remember your preferences for next time, suggest experiences you might dig.

Communication

Sending pre-arrival info, updates about your booking, or special offers if you've opted in.

Improving Our Services

Analyzing trends to make our resort better – like which activities are most popular.

Legal Compliance

Meeting tax requirements, responding to legal requests when required.

Safety & Security

Protecting against fraud, keeping our systems secure, ensuring guest safety.

If we ever want to use your info for something new, we'll ask first. No surprises.

We're not in the business of passing your info around, but there are some legit partners we work with to keep things running:

Service Providers

Think payment processors, booking systems, email platforms. These folks are contractually bound to protect your data and can only use it for the specific services they provide us.

Activity Partners

If you book a guided hike or helicopter tour through us, we'll share necessary details with those operators. They need to know who's showing up, after all.

Legal Requirements

If the law requires it (court orders, tax authorities, that kind of thing), we'll comply. But we'll only share what's legally necessary.

Corporate Changes

If Zephyr on Ascendant ever merged with another company or got acquired, your data would transfer as part of that. But you'd be notified, and the same protections would apply.

Important: We never share your personal info with third-party marketers. Your data stays within our operational circle.

Yeah, we use cookies. Not the chocolate chip kind (though we serve those at breakfast). Here's the deal:

Essential Cookies

These keep the site working – maintaining your session, remembering what's in your booking cart. Can't really turn these off if you wanna use the website.

Analytics Cookies

Help us understand how people use our site. We use this to figure out what's working and what's not. All anonymized data.

Marketing Cookies

These track your visits across websites to show you relevant ads. You can opt out of these through your browser settings or our cookie banner.

Most browsers let you control cookies through their settings. Just know that blocking certain cookies might make parts of our site not work as smoothly.

Security's a big deal for us. We've invested in proper systems to keep your information safe:

  • Encryption: All data transmission uses SSL/TLS encryption (that's the padlock you see in your browser)
  • Secure Storage: Data at rest is encrypted on secure Canadian servers
  • Access Controls: Only staff who need access to do their jobs can see your info
  • Regular Audits: We review our security practices regularly and update them
  • Staff Training: Our team's trained on privacy and data protection
  • Incident Response: If there's ever a breach, we've got protocols to act fast and notify affected guests

That said, no system's 100% bulletproof. We do our absolute best, but we can't guarantee perfect security (nobody honestly can). What we can promise is we'll always be transparent if something goes wrong.

You've got rights when it comes to your personal data. Here's what you can do:

Access Your Data

Request a copy of what personal information we've got on file for you.

Correct Mistakes

If something's wrong or outdated, let us know and we'll fix it.

Delete Your Data

Ask us to delete your info (with some legal exceptions like tax records).

Opt Out of Marketing

Unsubscribe from promotional emails anytime – there's a link in every message.

Data Portability

Get your data in a format you can take elsewhere if you want.

Withdraw Consent

Change your mind about how we use your data (where consent was the basis).

To exercise any of these rights, just shoot us an email at reservations@zephyronascendant.info or call (604) 555-2847. We'll respond within 30 days (usually way faster).

We don't keep your info forever. Here's our approach:

  • Active Bookings: While you've got a reservation or during your stay
  • Past Guest Records: Up to 7 years for tax and accounting purposes (legal requirement)
  • Marketing Lists: Until you unsubscribe or we haven't heard from you in 3 years
  • Website Analytics: Typically 26 months, then it's anonymized
  • Security Footage: 90 days unless there's an incident requiring longer retention

After these periods, we either delete your data or anonymize it so it can't be traced back to you. If there's a legal reason we need to keep something longer, we will – but only that specific data.

Our services are designed for adults. We don't knowingly collect personal information from kids under 13 without parental consent.

If you're booking a family stay and need to provide info about your children for the reservation (like ages for activity planning), that's fine – you're providing it as the parent or guardian.

If we discover we've accidentally collected data from a child without proper consent, we'll delete it promptly. If you think this has happened, please contact us right away.

Things change – laws evolve, our services expand, technology improves. When we update this privacy policy, we'll:

  • Post the new version here with an updated date at the top
  • Send an email to registered guests if the changes are significant
  • Give you time to review before the changes take effect
